Position Summary:

The Associate Asset Management Specialist is responsible for the day-to-day coordination of IT Asset Management activities for all hardware & software components owned by the organization. This effort includes, but is not limited to, ensuring the efficient and compliant use of digital resources within the organization. This individual works with IT Operations to track, manage, and optimize the entire lifecycle of IT owned assets. 

Essential Functions:

  • Inventory Management
    • Maintains accurate records of all IT assets, including hardware and software, through regular audits and updates to the asset management system.
    • Tracks asset movements, transfers, and disposals.
    • Reconciles packing list with GMED PO.
    • RFID Tagging of incoming hardware & implementation in repository.
  • Procurement Coordination
    • Collaborates with ITAM Specialist & IT Technicians to facilitate the deployment of newly acquired IT assets, ensuring alignment with organizational needs.
    • Identifies EOL hardware across sites & plans periodic refresh.
    • Verifies and records incoming assets, including validating specifications and documentation.
    • Facilitates 3rd Party / Vendor visit for maintenance or servicing or specific request.
  • Documentation and Reporting
    • Generates regular reports on asset utilization, compliance, and upcoming renewal dates for licenses and warranties.
    • Documents and communicates any discrepancies or issues related to IT assets.
    • Apprises management or inter-department as per specific request & regular process.
    • Maintains asset list for various users and departments.
  • User Support
    • Provides support to Asset Management Team regarding IT asset-related inquiries and issues.
    • Collaborates with the help desk to address and resolve asset-related incidents promptly.
    • Cross checks requests with store for available hardware/license & escalate to purchase.
  • Policy Adherence
    • Ensures compliance with IT asset management policies and procedures.
    • Works with relevant teams to develop and update asset management policies as needed.
  • Collaboration
    • Collaborates with IT teams, procurement, security, and other relevant departments to optimize asset usage and security.
    • Participates in cross-functional projects that involve IT asset management.
    • Software Renewal – Monitors periodical renewal of software licenses/subscriptions.
  • License Management
    • Monitors and tracks software licenses to ensure compliance with vendor agreements, legal requirements, and organizational policies.
    • Regularly conducts license audits to verify that the number of installed software instances matches the number of purchased licenses.
  • Adheres to the letter and spirit of the company Code of Conduct, the AdvaMed Code, MedTech Code, and all other company policies.
  • Ensures Compliance with applicable governmental laws, rules, and regulations, both in the United States and internationally, by completing introductory and annual training and maintaining knowledge of compliance as it applies to your role
  • Represents the company in a professional manner and uphold the highest standards of ethical business practices and socially responsible conduct in all interactions with other employees, customers, suppliers, and other third parties

Qualifications:

  • Proficiency in using Microsoft Office products
  • Desirable - Prior experience in Purchase or basics of Supply Chain in regards to IT Assets
